6 Steps to Help You with Vault Verify

You’ve outsourced verifications to Vault Verify, but now what? The key to success often lies in getting the word out! Here are six essential steps to help drive awareness both with your employees and the outside verifier community.

Verifiers often visit an employer’s “Contact Us” page on the website to confirm the employer’s verification process. Adding instructions here with a link to the Vault Verify website and your Vault company code can reduce questions to your team.

Add VOIE instructions to your phone tree, voicemail, or a new VOIE extension. Updating your phone system to identify Vault Verify as your provider can answer inquiries in an automated way, reducing repeated calls to your staff. 

When a request is received in-house, deliver VOIE instructions to the verifier. Sending the instructions document to the verifier provides information on who Vault Verify is and the process to register and request their first report. This will reduce repeat requests as each verifier updates their systems.

Posting instructions in break rooms and other locations where employees congregate helps to get the word out. This is particularly important in highly distributed work environments where there are many locations or where HR services are decentralized.

While HR sees a steady stream of verifications, each employee may only need the service every couple of years. Sending reminders to employees improves awareness. More importantly, communicating to managers helps ensure that the process is not being circumvented, creating potentially unnecessary risk of noncompliance within the organization.

The handbook typically serves as the policy for the company and is often reviewed most frequently for new hires. Getting the word out early to employees will help increase the likelihood of usage.
